1. Introduction

Poiz, Inc. (“Poiz,” “we,” “us,” or “our”) operates the Project Game Ready Preview mobile application and web application (collectively, the “App”). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use the App. Project Game Ready Preview is a mental performance preparation tool for athletes aged 13 and older. It is not a medical, therapeutic, or diagnostic tool. By creating an account or using the App, you agree to the collection and use of information as described in this Privacy Policy.


2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Email address
  • Full name
  • Date of birth (used solely to verify you are 13 or older)

2.2 App Feedback You Submit

If you use the in-app feedback form, we collect the text you write, the category you select (bug, feedback, or feature idea), and your account identity. We also automatically attach your app version, device platform, and operating system version so we can reproduce reported issues. Please avoid including sensitive personal information in the free-text field — write only what you want us to see. This is separate from the session feedback described in Section 2.4, which relates to a specific preparation session.

2.3 Profile Information

You provide the following to personalize your experience:

  • Sport (e.g., baseball, basketball, soccer)
  • Position(s) within your sport
  • Organization or team affiliation (if you join a group)

2.4 Session & Performance Data

When you use the App’s preparation sessions, we collect:

  • Mental state check-ins: Self-reported ratings for nervousness, preparedness, challenge, and confidence (1-5 scale), and your resulting performance zone
  • Intentions: Free-text performance intentions you set before a session
  • Scenarios: Free-text descriptions of your upcoming competitive situation
  • Session metadata: Sport, position, completion status, duration, and timestamps
  • Session feedback: Optional thumbs-up/thumbs-down rating and text feedback on an individual session

This data is among the most sensitive information we handle. See Section 5 (Privacy of Athlete Data) for how we protect it.

2.5 Audio Content

The App generates personalized audio scripts using artificial intelligence. The resulting audio files are stored in our systems and associated with your account.

2.6 Subscription & Purchase Information

If you subscribe to a paid plan, your payment is processed by Apple (App Store), Google (Play Store), or our subscription management provider, RevenueCat. We receive your subscription tier and status but do not receive or store your payment card details.

2.7 Usage & Analytics Data

We collect behavioral analytics to improve the App, including:

  • Events such as session starts, completions, and feature usage
  • Your platform (iOS, Android, or web)
  • Session replays with automatic masking of text and images

We use Mixpanel for analytics. Mixpanel receives your user ID, display name, sport, and platform.

2.8 Device & Technical Data

We may collect standard technical information such as:

  • Device type and operating system
  • App version
  • Browser type (for web users)
  • Crash and error reports

2.9 Push Notification Token

If you allow notifications, we store a device push notification token with your account. This is an anonymous identifier issued by Apple or Google for your installed copy of the App; it does not identify you on its own and we cannot use it for anything other than delivering notifications to that device. We store it only after you grant notification permission, we delete it when you sign out or delete your account, and we remove it automatically when your device reports that it is no longer registered. If you do not allow notifications, no token is collected.


3. How We Use Your Information

We use the information we collect to:

  • Provide the App: Generate personalized audio preparation sessions tailored to your sport, position, mental state, intentions, and scenario
  • Manage your account: Authenticate you, maintain your profile, and manage group memberships
  • Process subscriptions: Determine your access tier and entitlements
  • Improve the App: Analyze usage patterns, identify bugs, and improve features
  • Communicate with you: Send account-related notifications (e.g., email confirmation)
  • Send push notifications: If you allow notifications, alert you when a session you started has finished generating, and deliver occasional announcements from Poiz staff to your team. See Section 8.2 for how to turn these off.
  • Respond to and act on your feedback: We use feedback you submit to diagnose bugs, prioritize product improvements, and, where you have asked a question or reported a problem, to reply to you directly

We do not use your data to make medical diagnoses or provide therapeutic recommendations. Project Game Ready Preview is a performance preparation tool, not a healthcare product.


4. How We Share Your Information

We do not sell your personal information. We share information with the following categories of service providers who process data on our behalf:

We may also disclose your information if required by law, legal process, or government request, or to protect the rights, property, or safety of Poiz, our users, or the public.


5. Privacy of Athlete Data

We take the privacy of your mental performance data seriously. A strict trust boundary separates what is visible to you from what coaches or team administrators can see. What coaches and administrators CAN see:

  • Whether you completed a session
  • Your session completion frequency and rates

What coaches and administrators CANNOT see:

  • Your mental state check-in responses (zone, confidence, nervousness, etc.)
  • Your intentions
  • Your free-text scenario descriptions
  • Your audio session content or scripts
  • Your session feedback
  • Any feedback you submit through the in-app feedback form

This boundary is enforced at the database level through row-level security policies, not just application logic.


6. Data Retention

  • Account and session data: Retained while your account is active, plus 90 days following account deletion to allow for recovery
  • Audio files: Retained while your account is active; deleted upon account deletion
  • Push notification tokens: Retained while notifications are enabled on a device; deleted when you sign out on that device, when you delete your account, or when the device reports the token is no longer valid
  • Feedback submissions: Retained indefinitely so we can track whether reported issues were resolved, unless you request deletion
  • Analytics data: Retained per Mixpanel’s standard data retention policy
  • Subscription data: Retained per RevenueCat’s data retention policy and applicable App Store/Play Store requirements

7. Data Security

We implement the following security measures to protect your data:

  • All data transmitted between the App and our servers is encrypted via HTTPS/TLS
  • Database access is controlled through row-level security policies ensuring users can only access their own data
  • Authentication uses short-lived JSON Web Tokens
  • Backend services use internal secret-key authentication
  • Content Security Policy headers protect against cross-site scripting and injection attacks
  • Audio file storage uses per-user namespaced paths

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.


8. Your Rights and Choices

8.1 Access and Deletion

You may delete your account at any time through the App’s settings. Account deletion removes all associated data, including sessions, check-ins, intentions, audio files, feedback submissions, push notification tokens, and group memberships. Deletion is permanent after the 90-day retention window. To request a copy of your data, contact us at the address below.

8.2 Notifications

Push notifications are optional. The App asks for your permission before sending any, and you can turn them off at any time from the Notifications setting on the App’s Profile tab or from your device’s Settings. Turning notifications off stops both session-ready alerts and team announcements; it does not affect your account or your sessions.

8.3 Subscription Management

You can manage or cancel your subscription through your iOS Settings or Google Play Store account at any time. Poiz does not process cancellations directly.

8.4 California Residents (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we collect and how it is used
  • Delete your personal information
  • Non-discrimination for exercising your privacy rights

We do not sell personal information. Analytics and crash reporting services operate under service agreements, not data sale arrangements. To exercise your rights, contact us at the address below.


9. Children’s Privacy

Poiz for Teams is intended for users aged 13 and older. We require date of birth verification during account creation and do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will promptly delete that information. If you believe a child under 13 has provided us with personal information, please contact us at the address below.


10. Third-Party Links and Services

The App may contain links to third-party services (e.g., App Store, Play Store). We are not responsible for the privacy practices of those services. We encourage you to review their privacy policies.


11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the App and updating the “Last Updated” date above. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.
